The story of Xledger Cloud ERP 5 years on
Xledger allowed Davies Maguire a system that has freed up a huge amount of time through automation and allowed them to grow.
Davies Maguire came to Xledger in 2012 needing a new system, as an ambitious Structural Engineering Consultancy working on iconic projects and delivering award-winning sustainable solutions in London and across the UK. When they first came to Xledger they were using a myriad of spreadsheets but realised they needed a cloud ERP system that would grow with them
Director Seamus Maguire said, ‘It took us 6 to 12 months to get us up and running. We used a beta version of Xledger to begin with and it was really useful to learn with before going live. We were looking for a system that tied mainly the financials and project management together to provide real-time data. We found Xledger offered this solution.‘
Implementation was ‘daunting at the start’. Davies Maguire persevered knowing the benefit of having a system they could grow into and offered that flexibility. They were able to modify the system at a project level, allowing projects to be split into different stages (RIBA Stages), add multiple clients and in the end implementation was ‘much less painful’ than they thought it would be taking only 6 months from pilot version to live.
Davies Maguire uses Xledger for:
- accessing real-time data
- managing fees
- project accounting
- invoicing suppliers
- expenses and timesheets
- bids costing for greater profitability
In the system different types of users were set up. Today five years on, 27 people use it for project accounting. Seamus Maguire explained:
‘It is like a plug and play. Our people use it for timesheets,expenses or to review projects on a daily basis. It helps us when we are bidding projects, because we have live data to use for similar projects. When we deliver a project, it is normally split up into RIBA stages (from 1 through to 6).
‘There is scoping of work appropriate to each of the stages. For instance if you are delivering a hotel project and then you receive a bid for another hotel project you can see how much money you spent and what it cost you to deliver that project through to each of the various stages. When we bid for larger projects we access our data on Xledger. Bids costing is one of the main tools Xledger provides for us in terms of what we use it for and ultimately brings us greater profitability.’
In 2018 Davies Maguire will be using Xledger on an advanced financial level to do P&L as they expand, employing a dedicated resource to operate the system.
‘The longer term plan is to introduce a finance controller into the company and start using it for Profit and Loss insights. We want to be able to use it for managing the company across accounting and project levels, offering real-time data across both levels. We are now ready to take the next step 5 years on knowing the system works seamlessly at project management level. We will be inputting all financial data into the system allowing reporting of P&L. We are also looking at expanding the practice across other regions and the system has this flexibility.’
